The workflow may look simple on the canvas, but reliability comes from decisions made before and after the modules are connected.

Define the business outcome Start with the result the workflow must create: a qualified lead in the CRM, a routed support ticket, a generated report, a clean invoice approval or a follow-up task after a sales reply.

If the outcome is vague, the scenario will become vague too.

Identify the source of truth Every workflow needs one primary record.

That might be HubSpot, Airtable, Salesforce, Google Sheets, Notion, a database or another system.

Without a source of truth, automation creates duplicates and confusion.

Map fields before modules List the fields that must enter, transform and exit the workflow.

Include required fields, optional fields, allowed values and failure states.
